HHS BAND BPA MEETING MINUTES
TUESDAY NOVEMBER 15, 2016

The meeting of the HHS BPA was held in the band room on Tuesday, November 20, 2016 at 7:36.
Margaret Turner, President
After calling the meeting to order, Margaret reported on the Holiday Marketplace and Auction. Vendors will be set up from 5-7 before the Christmas concert and simultaneously there will be a silent auction.
Sherry Seals-Tonini, 1st VP Chaperones

Ernie Limbo and Jennifer Applebaum, 2nd VPs Fundraising
Jennifer reported that some sheets are still in the band room and asked parents to get them if their student has not yet brought them home.

Carolyn Drake, Communications
Carolyn reported that the usual Sunday email will not be sent this week due to the Philadelphia trip and holiday.
Liz Boykin, Uniforms
Liz reported that uniforms need to be cleaned and students may start bringing them back to school. She will check them in weekly. The students must bring the receipt in from Wilson’s Cleaners showing they have been cleaned. Mr. Ivey said that if the band has to clean them, there will be a $20.00 fee assessed. The red bag and hanger must be returned with the uniform but students should keep their shoes. Some boys have not taken home their formal attire. Liz also reported that she is working on getting our pictures. The company has found the order and they are being printed. The order will be in this week or after the Philadelphia trip.

Mary D’Arienzo, VBC liaison
Mary reported that there are new kids and parents working the VBC concession stands and VBC wristbanding is going well.
Machelle Fletcher and Roxanne Carroll, Concessions/Bricks
Machelle and Roxanne showed samples of the two brick types that are for sale. A standard sized brick is available for $50 with inscription and a large brick is $100. All bricks sold will be planted by the flagpole in the spring. They will have a booth set up at the Holiday Marketplace to sell and offer more information to those interested. Students get 10% of all sales back into their Charms accounts. Upon selling $1,000 in bricks, a student will get $350 into his or her account.
Susan Boothe, Treasurer
Mr. Ivey reported for Susan that the financial report is printed on the back of the agenda and we are at budget. Recent purchases include some additional dresses for the girls in the wind ensemble and some drum equipment. There has been some confusion over student accounts. Charms is not set up to account for partial payments except for under the miscellaneous ledger at the bottom of each Charms account. Basically, if you have not heard from Mr. Ivey, your account is in good standing. He next reported on the Philadelphia trip. A meeting will be held Thursday, 11-17-16 at 5:00. Sweatshirts for the trip will be handed out at that meeting. Students’ luggage will be checked before being loaded onto the buses. Check in starts at 3:00 Saturday but the buses will arrive by 2:00 and able bodied and willing chaperones are encouraged to report then to help with loading.
Karen Parker, Trips Coordinator
Karen passed on details of how you can watch the parade from home. Students on the trip will each have a lanyard with all vital information enclosed. Mr. Ivey reported that the tour company is closely watching the on-going protests in New York related to the recent election. They are monitoring Trump Tower and Times Square via live web cam for trouble. There is a plan in place in the case of trouble to ensure the students’ safety. The greatest concern now is the group picture in Times Square. If there are protests on going after the Broadway plays, a new location for the picture will be found. A discussion was then held about what the students should wear under their uniforms during the parade and then the floor was open for questions.
