HHS BPA MEETING MINUTES

TUESDAY OCTOBER 18, 2016

 

 

The monthly meeting of the HHS BPA was held on Tuesday October 18, 2016 in the band room.  The meeting was called to order by Mr. Ivey at 7:31.

 

Stuart Ivey, Director

Mr. Ivey reported for BPA President Margaret Turner who could not attend.  Senior night is this Friday and preparations are going well.  Media guides are now being offered at half price, or $10.00.  There are still plenty of magnets left to sell for $5.00 each.  Mr. Ivey reported that this is a busy time of the year as preparations are being made for upcoming events.  The spring calendar was given to students today.  Mr. Ivey also reported for Sherry Seals-Tonini, 1st VP Chaperones, that chaperones are set for the rest of fall.  Further opportunities will be available in the spring.

 

Jennifer Applebaum and Ernie Limbo, 2nd VPs Fundraising

Jennifer reported that most Fan Cloth items went home today.  The sheet order has been placed and should arrive within 2-3 weeks.  $14,000.00 worth of sheets were sold with one student selling approximately $4,000.00.  Coupon cards are still available for buy one get one ½ off. 

 

Susan Boothe, Treasurer

Susan reported that the financial report is on the back of the meeting agenda.  Mr. Ivey reported that the band is still owed approximately $14,000.00 in dues.

 

Jeff McCluskey, Secretary

No report.

 

Carolyn Drake, Communications

Carolyn had no report, but Mr. Ivey reported that the website has been updated with the spring schedule.  He then discussed a few items on the spring schedule.  Specifically, the band will perform at the Havoc hockey game on 1-21-17 and sell tickets for the game.  He briefly mentioned winter band camp and MPA.  March will be a quiet month but April will be busy and the year will culminate on 5-25-17 at graduation ceremonies.

 

 

Liz Boykin, Uniforms

Liz could not be present but Mr. Ivey shared that fitting is ongoing for formal attire.

 

Sandra Moore, Credit Keeper

No report.

 

Mary D’Arienzo, VBC Liaison

Mary shared that 14 people from the BPA attended the recent Responsible Vendor class at the VBC.  These people will begin work in November.  Participation in VBC concessions is going well and students at least 16 years of age are welcome to work.

 

Machelle Fletcher and Roxanne Carroll, Concessions/Bricks

There is a full slate of concession stand volunteers for this week’s football game against Gadsden City.  Our last turn staffing the Milton Frank concession stand earned $800-$1,000 for the band.  There will be further opportunities to work Milton Frank concessions in the spring.  Attendees were encouraged to buy bricks to support the band.

 

Karen Parker, Trips Coordinator

Students will soon be given the opportunity to make tour choices for the Philadelphia trip and chaperones will soon be assigned.  Karen stated that a packing list will soon be available.  Attendees were reminded that at least $200 in dues need to be paid prior to the trip.  There will be a group picture taken in Times Square that will be available for purchase for around $20.  Orders must be placed prior to the trip.  Mr. Ivey stated that students will be given medication forms.  They will be taking a supply of single dose, common over-the-counter medications that students may purchase for $1 per pill.

 

Gena Black, Hospitality

Gena offered her thanks for the donations made for the MSU ensemble.  Further donations will be needed for after the Christmas concert.  There will be a silent auction and donations of items and services are needed.

 

Louise Strutzenberg, Media

Louise asked that parents on the Philadelphia trip and at football games take pictures and share with her for the end-of-year banquet.

 

Stuart Ivey, Director

Mr. Ivey was asked a question about the Veteran’s Day Parade.  He stated that the parade starts at 11:00 and students should arrive by 9:45 at Lot K which is near the Springhill Suites.  Our placement in the parade is not yet known but the best viewing spot is near the Veteran’s Memorial.  The concert is set for 11-7-16.

 

The meeting was adjourned at 8:02.
