HHS BPA MEETING MINUTES

TUESDAY FEBRUARY 21, 2017

 

 

The monthly meeting of the HHS BPA was held on Tuesday February 21, 2017 in the band room.  Margaret Turner called the meeting to order at 7:04

 

Margaret Turner, President

Margaret offered thanks for all help given during pre-MPA activities last week.  She then went over the schedule for MPAs as included in the night’s agenda.  She pointed out that a $5.00 box lunch from Jason’s will be offered and the band will bring other snacks and water.  The VP for Chaperones will send out a Sign Up Genius chaperones.

 

Stuart Ivey, Director

Mr. Ivey encouraged all to come enjoy the band’s stage performances at MPA.  The site reading session will not be open to the public.  MPA is the most important band event of the year and attendance is mandatory.  Comments from the Pre-MPA performance were all positive and the band is in good shape.

 

Sherry Seals-Tonini, 1st VP Chaperones

Jennifer Applebaum and Ernie Limbo, 2nd VPs Fundraising

Jennifer reported that the band did well with the coupon book fundraiser.  We sold 119 books and made just under $1,500.00 for the band.  If you have not gotten your book yet, it is probably because your student has not brought it home and it is in Mr. Ivey’s office.  Margaret Turner reported that the band made over $1,500.00 from the pre-MPA ticket sale.

Susan pointed out that the budget/financial report is on the back of the agenda.

Liz Boykin, Uniforms

Liz stated that there will be a clothing rack at school for students to hang their tuxedos and dresses on for MPA.  Boys need long black socks and girls must have closed toe shoes with heels no longer than an inch.  She will issue the boys ties and cummerbunds.   She thanked parents for returning band uniforms clean and in good shape.  Mr. Ivey added that boys can get tuxedo shirts at Hobby Lobby for about $13.00 with a coupon.

Mary reported that the VBC is very busy this weekend and anyone who works this weekend gets the entire $7.25 per hour into his or her band account.

There may be opportunities at Milton Frank this spring.  We have applied to work track events on 3-11, 3-27, and 4-11-17.

Gena is looking for ideas for caterers for the end-of-year banquet.

 

Louise Strutzenberg, Media

Louise set up a Google Drive folder for senior pictures.  She will send an email to senior parents with links to your account.  Others may email her and she will send a link for a folder you can send pictures to.  Pictures are due by 4-9-17.  She needs one baby picture and she has a composite picture.  You can send any other pictures you want to send.

 

Margaret opened up the floor for questions and a question was asked about how block scheduling will affect band.  Mr. Ivey lead a discussion about that topic and Margaret closed the meeting by stating that the Nominating Committee will present the slate of officers for next year at March’s meeting and it will be voted on in April.

HHS BPA MEETING MINUTES

TUESDAY JANUARY 17, 2017

 

 

The monthly meeting of the HHS BPA was held on Tuesday January 17, 2017 in the band room.  Margaret Turner called the meeting to order at 7:16.

 

Margaret Turner, President

Margaret began the meeting by going over the Spring Calendar.  Symphonic Band will rehearse on Tuesday and Thursday mornings at 7:30 during January and February.  This coming weekend, there will be a basketball game on Friday night and the Havoc game on Saturday.  Tickets are $10 and are on sale tonight.  Money needs to be in Thursday and the band gets to keep a portion.  Other events this spring are listed below:

 

1-27-17  auditions for District All-State Honor Band at Sparkman Freshman Academy;

2-2 to 4-17  Winter Band Camp with two guest conductors working on MPA music;

2-16-17  pre-MPA concert at HHS  with 10 other bands, judges will be on hand to give feedback, some parental help may be needed;

2-17 & 18-17  hosting District 1 Honor Band with middle school and high school bands participating, need food donations;

3-1 & 2-17  MPA, our day and time not set yet;

4-1-17  Solo and Ensemble at Meridianville;

4-5 to 8-17  All State Festival in Montgomery;

4-18-17  BPA Meeting , election of new officers;

4-20-17  @ 7:00  Wind Ensemble and Percussion Concert;

5-2-17 @ 7:00  Symphonic and Jazz Band Concert;

5-9-17  HHS Band Banquet at First Baptist Church, announcement of new board members

5-25-17  Graduation at VBC 5:30.

 

A three person nominating Committee is being formed to find candidates for next year’s board.

Mr. Ivey could not attend due to other school/band responsibilities.  Margaret reported for him that the board has approved the purchase of sound equipment for the bargain price of $1,200.00.

Jennifer Applebaum and Ernie Limbo, 2nd VPs Fundraising

Jennifer reported that the band is launching a coupon book fundraiser.  It is the same company as used in previous years but by a different name and they added an app associated with the coupon book.  The books are $25 and the coupons are good through the end of 2017.  Each student will get a book Friday that will serve as a sample book.  They will have 2-3 weeks to sell and the students get credit on Charms based on the amount of books they sell.  Publix cards are available and everyone is encouraged to use them when they go to Publix.  At pre-MPA, everyone will have an opportunity to win one of three great prizes in return for a donation.  The prizes will be either an ipad or Apple watch, a TV, and $100.00.  Tickets will be $5.00 or 5 for $20.00.

Susan made the budget available for anyone to see.  We are doing ok with fee collection.  Statements will be going home soon and she reminded everyone that partial payments are reflected in the miscellaneous section on Charms.  All fees are due by 2-1-17.

Carolyn reported that the schedule change for Symphonic Band will be on the website and on printed schedules.

 

Liz Boykin, Uniforms

Margaret reported for Liz that uniform return is going well.  About half of the marching uniforms have been returned.  Seamstresses are available to make temporary changes to the concert uniforms.  See Liz if you need alterations.  Please do not cut the dresses or tuxedo pants.  Liz is also ordering letters and pins.

Veteran’s Day parade chaperones will soon see their credits on Charms.

Mary reported that the VBC is busy and there are plenty of opportunities to work.

Roxanne reported that there may be opportunities to work concessions this spring at Milton Frank during track season.  Stay tuned.  She also reported that they will soon be pushing brick sales.

On February 17-18, 2017 the District 1 Honor Band will be at HHS.  We will need to feed guest conductors and donations are requested.  There will be opportunities to help through Sign-Up Genius.

Margaret asked parents to send pictures to Louise for the end-of-year video.  A Google drive link will be set up to send pictures electronically.

After calling the meeting to order, Margaret reported on the Holiday Marketplace and Auction.  Vendors will be set up from 5-7 before the Christmas concert and simultaneously there will be a silent auction.

Ernie Limbo and Jennifer Applebaum, 2nd VPs Fundraising

Jennifer reported that some sheets are still in the band room and asked parents to get them if their student has not yet brought them home.

Carolyn reported that the usual Sunday email will not be sent this week due to the Philadelphia trip and holiday.

 

Liz Boykin, Uniforms

Liz reported that uniforms need to be cleaned and students may start bringing them back to school.  She will check them in weekly.  The students must bring the receipt in from Wilson’s Cleaners showing they have been cleaned.  Mr. Ivey said that if the band has to clean them, there will be a $20.00 fee assessed.  The red bag and hanger must be returned with the uniform but students should keep their shoes.  Some boys have not taken home their formal attire.  Liz also reported that she is working on getting our pictures.  The company has found the order and they are being printed.  The order will be in this week or after the Philadelphia trip.

Mary reported that there are new kids and parents working the VBC concession stands and VBC wristbanding is going well.

 

Machelle Fletcher and Roxanne Carroll, Concessions/Bricks

Machelle and Roxanne showed samples of the two brick types that are for sale.  A standard sized brick is available for $50 with inscription and a large brick is $100.  All bricks sold will be planted by the flagpole in the spring.  They will have a booth set up at the Holiday Marketplace to sell and offer more information to those interested.  Students get 10% of all sales back into their Charms accounts.  Upon selling $1,000 in bricks, a student will get $350 into his or her account.

 

Susan Boothe, Treasurer

Mr. Ivey reported for Susan that the financial report is printed on the back of the agenda and we are at budget.  Recent purchases include some additional dresses for the girls in the wind ensemble and some drum equipment.  There has been some confusion over student accounts.  Charms is not set up to account for partial payments except for under the miscellaneous ledger at the bottom of each Charms account.  Basically, if you have not heard from Mr. Ivey, your account is in good standing.  He next reported on the Philadelphia trip.  A meeting will be held Thursday, 11-17-16 at 5:00.  Sweatshirts for the trip will be handed out at that meeting.  Students’ luggage will be checked before being loaded onto the buses.  Check in starts at 3:00 Saturday but the buses will arrive by 2:00 and able bodied and willing chaperones are encouraged to report then to help with loading.

Karen passed on details of how you can watch the parade from home.  Students on the trip will each have a lanyard with all vital information enclosed.  Mr. Ivey reported that the tour company is closely watching the on-going protests in New York related to the recent election.  They are monitoring Trump Tower and Times Square via live web cam for trouble.  There is a plan in place in the case of trouble to ensure the students’ safety.  The greatest concern now is the group picture in Times Square.  If there are protests on going after the Broadway plays, a new location for the picture will be found.  A discussion was then held about what the students should wear under their uniforms during the parade and then the floor was open for questions.

HHS BPA MEETING MINUTES

TUESDAY OCTOBER 18, 2016

 

 

The monthly meeting of the HHS BPA was held on Tuesday October 18, 2016 in the band room.  The meeting was called to order by Mr. Ivey at 7:31.

 

Stuart Ivey, Director

Mr. Ivey reported for BPA President Margaret Turner who could not attend.  Senior night is this Friday and preparations are going well.  Media guides are now being offered at half price, or $10.00.  There are still plenty of magnets left to sell for $5.00 each.  Mr. Ivey reported that this is a busy time of the year as preparations are being made for upcoming events.  The spring calendar was given to students today.  Mr. Ivey also reported for Sherry Seals-Tonini, 1st VP Chaperones, that chaperones are set for the rest of fall.  Further opportunities will be available in the spring.

 

Jennifer Applebaum and Ernie Limbo, 2nd VPs Fundraising

Jennifer reported that most Fan Cloth items went home today.  The sheet order has been placed and should arrive within 2-3 weeks.  $14,000.00 worth of sheets were sold with one student selling approximately $4,000.00.  Coupon cards are still available for buy one get one ½ off. 

 

Susan Boothe, Treasurer

Susan reported that the financial report is on the back of the meeting agenda.  Mr. Ivey reported that the band is still owed approximately $14,000.00 in dues.

Carolyn had no report, but Mr. Ivey reported that the website has been updated with the spring schedule.  He then discussed a few items on the spring schedule.  Specifically, the band will perform at the Havoc hockey game on 1-21-17 and sell tickets for the game.  He briefly mentioned winter band camp and MPA.  March will be a quiet month but April will be busy and the year will culminate on 5-25-17 at graduation ceremonies.

Liz could not be present but Mr. Ivey shared that fitting is ongoing for formal attire.

Mary D’Arienzo, VBC Liaison

Mary shared that 14 people from the BPA attended the recent Responsible Vendor class at the VBC.  These people will begin work in November.  Participation in VBC concessions is going well and students at least 16 years of age are welcome to work.

 

Machelle Fletcher and Roxanne Carroll, Concessions/Bricks

There is a full slate of concession stand volunteers for this week’s football game against Gadsden City.  Our last turn staffing the Milton Frank concession stand earned $800-$1,000 for the band.  There will be further opportunities to work Milton Frank concessions in the spring.  Attendees were encouraged to buy bricks to support the band.

 

Karen Parker, Trips Coordinator

Students will soon be given the opportunity to make tour choices for the Philadelphia trip and chaperones will soon be assigned.  Karen stated that a packing list will soon be available.  Attendees were reminded that at least $200 in dues need to be paid prior to the trip.  There will be a group picture taken in Times Square that will be available for purchase for around $20.  Orders must be placed prior to the trip.  Mr. Ivey stated that students will be given medication forms.  They will be taking a supply of single dose, common over-the-counter medications that students may purchase for $1 per pill.

 

Gena Black, Hospitality

Gena offered her thanks for the donations made for the MSU ensemble.  Further donations will be needed for after the Christmas concert.  There will be a silent auction and donations of items and services are needed.

Louise asked that parents on the Philadelphia trip and at football games take pictures and share with her for the end-of-year banquet.

Mr. Ivey was asked a question about the Veteran’s Day Parade.  He stated that the parade starts at 11:00 and students should arrive by 9:45 at Lot K which is near the Springhill Suites.  Our placement in the parade is not yet known but the best viewing spot is near the Veteran’s Memorial.  The concert is set for 11-7-16.

The meeting of the HHS BPA was held in the band room on Tuesday, September 20, 2016 at 7:35.

 

Margaret Turner, President

After calling the meeting to order, Margaret shared with the parents that the band is selling car magnets for $5.00 each.  She also encouraged parents to pick-up Publix cards and reminded parents that there are still coupon cards available buy one get one free.  Finally, she thanked parents for water donations to the band.

 

Sherry Seals-Tonini, 1st VP Chaperones

Sherry reported that chaperones are doing well.  More opportunities will be available later in the fall.  There should be a link to sign up emailed this coming week.

 

Ernie Limbo and Jennifer Applebaum, 2nd VPs Fundraising

Jennifer reported that the Fan Cloth Fundraiser was a success.  The band sold over $4,900.00 and all money is accounted for.  The order is ready to be placed and items will be received about two weeks thereafter.  The next fundraiser is the sheet sale.  They will sell for $40.00 per set with $10.00 of each sale going to the student’s account.

 

Susan Boothe, Treasurer

Susan passed around a financial report.  She asked parents to let her know if they have money in their Charms account they want applied to some specific purpose.  Only students appear on Charms.  Susan keeps up with payments made on behalf of parents.  Mr. Ivey stated that we can send out receipts if needed.  Margaret asked parents to let Susan know their student’s name when performing work that receives credits.

Liz Boykin, Uniforms

Liz asked that students bring their band uniforms in the red garment bag Saturday with the name displayed.  Uniforms should be taken to either location of Wilson Cleaners where they will be cleaned for only $5.50.  She reported that she would be selling t-shirts tonight.  The Halleluiah shirts would be offered for $10.00 for students and $15.00 for adults.  “Vintage” t-shirts left over from last year would be $5.00.  Life Touch pictures should be delivered in about 3 weeks.

Mary D’Arienzo, VBC liaison

Mary was sick so Margaret gave a report for Mary.  It was reported that a lot of new volunteers have come forward and it is appreciated.  There has been some confusion with scheduling at the VBC—in part because of a new employee there who is responsible for scheduling.  The way the process works is that after parents/students volunteer for an event, Mary submits that information to the VBC.  Their representative then establishes a schedule.  We do not always get every event we volunteer for.  After we are offered an event, the VBC notifies Mary who in turn notifies the workers.  Some people have shown up at the VBC expecting to work only to be told there was no spot for them.  No date has been set for a Responsible Vendor Class at the VBC.

 

Machelle Fletcher and Roxanne Carroll, Concessions/Bricks

They thanked people for volunteering to work the concession stand at Milton Frank for the upcoming football game.  Volunteers should arrive by 5:30.  If you tell the parking attendants you are working concessions, you will not have to pay to park or get into the game.  No open-toe shoes are allowed and long hair should be pulled up.  The next MF concessions opportunity should come 10-21-16 with sign-up starting the first of October.  There is a link on the band website to buy commemorative bricks.  Senior night will be 10-21-16 and parents of non-seniors are encouraged to volunteer to work concessions that night.

 

Karen Parker, Trips Coordinator

Mr. Ivey reported that the first rehearsal for the Philadelphia trip will be the first Tuesday after fall break.  An informational meeting will be held after rehearsal.  Some chaperoning duties will be shared at that time.  Assignments for bed checks will be ready at that time and other duties were discussed.  There will be sight-seeing options for Washington D.C. and to some extent in New York City, but the itinerary is still a work-in-progress.  Details will be posted on the website when they are finalized.  The band will take an overnight trip somewhere every year—usually in the spring—with an approximate cost of $500-$750.  An international trip is taken every 4 years with a cost in excess of $3,000.00.  The next one will occur when this year’s freshmen are seniors.  As of this spring, you will be able to pay money into Charms to apply to the next international trip.

We are currently looking for a date on either a Monday or Tuesday in the spring to hold the annual banquet.  This event is free to seniors and is approximately $10 for everyone else.

Stuart Ivey, Band Director

Mr. Ivey reminded parents that the band will perform after the football game this week as Homecoming activities will take up all of halftime.  He also went over the schedule for the upcoming competition in Russellville this Saturday.  Rehearsal will begin at 10:30 Saturday at HHS with lunch on their own at 12:30.  Students will return at 2:00 to prepare to leave.  They will arrive in Russellville at 4:00, warm up at 5:00, and perform at 5:45.  This competition was scheduled before the date for Homecoming was set.  However, because there are HC activities that evening, there are a couple options for returning.  Any students who wish to may leave on the two busses that will depart at 6:00 and return to HHS at 7:45.  Those who remain will attend the award presentation at 8:30.  The last bus will leave at 9:00 and return to HHS at 10:45.  The band room will be open after HC to provide the students a safe place to hang out with their friends.  Next, Mr. Ivey talked about the need for students to give their attention during band activities.  After a request from a parent, Mr. Ivey stated that he would make sure an announcement is made at the football game encouraging people to remain for the band’s performance.  The spring rehearsal schedule will be released after fall break.
