Job Descriptions for Open Positions and New Position Candidates
Secretary – The Secretary shall:
(a) Be responsible for recording the activities of the Local League and maintain appropriate files, mailing lists and necessary records.
(b) Perform such duties as are herein specifically set forth, in addition to such other duties as are customarily incident to the office of Secretary or as may be assigned by the Board of Directors.
© Maintain a list of all Regular, Sustaining and Honorary Members, Directors and committee members and give notice of all meetings of the Local League, the Board of Directors and Committees.
(d) Issue membership cards to Regular Members, if approved by the Board of Directors.
(e) Keep the minutes of the meetings of the Members, the Board of Directors and the Executive Committee to be recorded in a book kept for that purpose.
(f) Conduct all correspondence not otherwise specifically delegated in connection with said meeting and shall be responsible for carrying out all orders, votes and resolutions not otherwise committed.
(g) Notify Members, Directors, Officers and committee members of their election or appointment.
(h) Maintain and update the social media sites.
(i) Schedule Board meetings with appropriate designated meeting sites.

Treasurer – The Treasurer shall:
(a) Perform such duties as are herein set forth and such other duties as are customarily incident to the Office of Treasurer or may be assigned by the Board of Directors
(b) Receive all monies and securities and deposit same in a depository approved by the Board of Directors.
© Keep records for the receipt and disbursement of all monies and securities of the Local League, including the Auxiliary, approve all payments from allotted funds and draw checks therefore in agreement with policies established in advance of such actions by the Board of Directors. All disbursements by check must have dual signatures.
(d) Prepare an annual budget, under the direction of the President, for submission to the Board of Directors at the Annual Meeting.
(e) Prepare an annual financial report, under the direction of the President, for submission to the Membership and Board of Directors at the Annual Meeting, and to Little League International

Player Agent – The Player Agent shall:
(a) Record all player transactions and maintain an accurate and up-to-date record thereof.
(b) Receive and review applications for player candidates and assist the President in verifying residence or school enrollment and age eligibility.
© Conduct the tryouts, the player draft and all other player transaction or selection meetings.
(d) Prepare the Player Agent’s list.
(e) Prepare for the President’s signature and submission to Little League International, team rosters, including players claimed, and the tournament team eligibility affidavit.
(f) Notify Little League International of any subsequent player replacements or trades.
(g) Administer the divisional player pool.

Safety Officer – The Safety Officer shall:
(a) Be responsible to create awareness, through education and information, of the opportunities to provide a safer environment for children and all participants of Little League.
(b) Develop and implement a plan for increasing safety of activities, equipment and facilities through education, compliance and reporting.
NOTE: In order to implement a safety plan using education, compliance and reporting, the following suggestions may be utilized by the Safety Officer:
(1) Education – Should facilitate meetings and distribute information among participants including players, managers, coaches, umpires, league officials, parents, guardians and other volunteers.
(2) Compliance – Should promote safety compliance leadership by increasing awareness of the safety opportunities that arise from these responsibilities.
(3) Reporting – Define a process to assure that incidents are recorded, information is sent to league/district and national offices, and follow-up information on medical and other data is forwarded as available.
(4) Background Checks – If the League President so designates, the safety officer will complete the required background checks per Little League Regulation I (b) and I © 8 & 9.

Coaching Coordinator – The Coaching Coordinator shall:
(a) Represent coaches/managers in the league.
(b) Present a coach/manager training budget to the board.
© Gain the support and funds necessary to implement a league-wide training program.
(d) Order and distribute training materials to players, coaches and managers.
(e) Coordinate mini-clinics as necessary.
(f) Serve as the contact person for Little League and its manager/coach education program for the league.
(g) Coordinate end of season tournaments with Scheduler and Player Agent.

Tee Ball Commissioner – The Tee Ball Commissioner shall:
(a) Solicit managers for Tee Ball division.
(b) Coordinate Tee Ball teams.
© Provide training information and assistance to Tee Ball Coaches in the coaching of their teams.

Registrar – The Registrar shall:
(a) Manage the online and in-person registration process.
(b) Ensure that league registrations are up to date.
© Send updated rosters to the Player Agent and Treasurer.
(d) Ensure rosters are maintained and with the Safety Officer, upload final rosters to Little League data center.
(e) Coordinate recruitment of players into the league

Fields – The Fields Manager shall:
(a) Ensure the fields are maintained.
(b) Work with Coaches Agent to train managers and coaches how to take care of the fields.
© Ensure chalk, rakes, etc. are maintained at each of the fields.
(d) Work with the City of Tempe in the event of issues (divots, bees, etc.).
(e) Work with Equipment manager to ensure fields have necessary equipment (hoses, bases, pitching machines, etc.).

Equipment – The Equipment Manager shall:
(a) Secure bids on needed supplies and equipment and make recommendations for their purchase to the Board.
(b) Maintain a detailed list of equipment owned by TRSLL.
© Document equipment disbursed to the managers/coaches through detailed records.
(d) Ensure managers return equipment at the end of each season and keep inventory of equipment returned, the condition and if anything is missing.
(e) Responsible for the proper issuance of such supplies and equipment and for the repair, cleaning and storage thereof at the close of the season.
(f) Provide complete inventory list to TRSLL Board at the beginning and ending of each season.

New This Year: Coordinator Positions
The Diamondback Day Coordinator shall:
(a) Choose date with the Diamondbacks.
(b) Distribute flyer to all teams and through website/social media.
© Organize collection of all orders and money from teams.
(d) Pick up and deliver tickets to all teams.
(e) Serve as primary contact with the Diamondbacks Little League Day affiliate.

The Opening Day Coordinator shall:
(a) Schedule events for Opening Day.
(b) Secure photographer and organize picture schedule.
© Organize entertainment.
(d) Work with the treasurer to determine budget and stay within budget.
(e) Determine speakers, flag bearers, opening pitch ceremony as necessary.

The Diamondback Uniforms Coordinator shall:
(a) Work with Diamondbacks uniform designee to order all uniforms for players and coaches.
(b) Work with each team to determine jerseys.
© Determine order for each team and ensure sizes are accurate.
(d) Pick up, sort and deliver all uniforms.
(e) Maintain player pool jerseys for distribution.

The Concessions Coordinator shall:
(a) Determine budget with Treasurer to provide start up concession offerings.
(b) Organize schedule to operate concessions.
© Work with teams to ensure all slots are filled and each team has at least one slot.
(d) Maintain inventory.
(e) Ask for donations.
(f) Handle cash box and work with treasurer to ensure funds are safe and records are kept.

The Schedule Coordinator shall:
(a) Work with number of teams to determine practice and game schedules.
(b) Ensure each team has at least 10 games at the T-ball and Farm levels and at least 12 games at the minor and major levels.
© Work with representatives from other District 13 leagues to determine interleague schedule.
(d) Coordinate with the City to reserve fields for practice and play.
